From the Main Menu on the left-hand side, click on Import Data. Download the Sample CSV template. After you click on Download, wait a few seconds, then click on the download located on bottom left-hand side of your screen. This can be opened in Microsoft Excel ®, or any modern spreadsheet application. The data in row 2 are examples of what to enter.
The first thing to do is to highlight the first row in BOLD (This tells Excel that the data in these cells are titles and can be used for sorting or filtering – something you may want to do if you have hundreds of rows of data).
Next, click on the gray slanted cell to the left of the A Column and above the 1 Row. This will highlight the entire worksheet. With all the cells highlighted, move your cursor to the line between the A and B columns – you will notice your cursor changed to a cross with arrows. With your cursor there, double-click, this will expand all the columns to the maximum length of the data in the cells.
After you have entered all the data in the columns/rows, save the file to your computer. SAVE AS A CSV FILE.
Go back to the Import Data Screen and click on Open File. Choose the file you just saved. If the file does not open, check to see if you saved the file as a CSV file and not and Excel Workbook file. After you open the CSV file, the data will appear on the screen. Note, the data has not been imported yet. This screen is the Import Status screen.
On the top left-hand side, you will notice the Import Status box. This shows you how many programs are about to be imported, how many were imported (after you click start) and how many errors there are (after you start the import).
Click on the green Start button. As the data is importing, you will notice a check-box appear to the right of each program identifying if it was imported or not. Additionally, back in the Import Status box, there will be a summary of all programs imported or errors.
To see the newly imported programs, from the main menu, click on Programs. If you already have many programs listed, you can use the Filter/Sort at the top to see the newly imported programs.
NOTE – the programs will import with a Status as “Incomplete”. This is done on purpose to ensure that you look at each and every program before it is listed as Accepted, Pending, or Completed.
NOTE – there are three (3) columns in the download where the data is pre-set in PASS Lite. These are program-type, service-category, and service-area.
